Getting your crew on Archer
Add people in the portal, and get them signed in to the Archer app on their own phones.
Platform: Portal, then Mobile (the Archer app)
Your crew use the Archer app on their own phones. Getting them on takes two steps: you add each person in the portal, then they install the app and sign in with the same email address. No passwords.
1. Add each person in the portal
Admins and Managers can add people.
- In the portal, open Users from the left-hand menu.
- Click the + button (Add user) next to the Users heading.
- Fill in First name, Last name and Email. Phone is optional. Use the email address they'll sign in with on their phone.
- Under Org access, tick Operator if they'll drive a tractor. For the rest of your crew, leave it unticked. See What each person can do below.
- Under Management groups, add the group they work in. If they work in more than one, add each and star the one they should land in when they sign in.
- Click Create user.
Archer emails them an invite straight away.
Contractors and seasonal staff
For someone who isn't on your staff, tick Contractor under Membership. You can add an Expires date, or leave it blank for ongoing access. The Contractor tick only labels them. What they can do still comes from Org access.
2. They install the app and sign in
The invite email is headed You're invited to Archer Cloud and names the organisation they've been invited to join. There's no password to set up.
Send your crew these steps:
- Install Archer from the App Store (iPhone) or Google Play (Android).
- Open it and type the email address the invite went to.
- Tap Send one-time code, then enter the 6-digit code from the email and tap Verify and continue. On Android they can tap Sign in with Google or Sign in with Microsoft instead.
That's it. They land in their management group, ready to go. See Signing in for the details.
Checking who has signed in
Open the person in Users. First sign-in says Pending until they've signed in for the first time, then Completed. While it's pending, Invite email shows when the invite was sent.
If the invite didn't arrive, ask them to check their spam folder first. Then:
- Resend invite email sends it again.
- Cancel invite removes the pending sign-in, for example if the email address was wrong. You can invite that address again later.
What each person can do
| Org access | For |
|---|---|
| (nothing ticked) | Your crew. They use the Archer app: the map, trouble spots, work orders and documents. |
| Operator | Crew who drive a tractor. The same as unticked, plus they can be given tractor work and appear on the tractor terminal's operator list. |
| Manager | Runs the day-to-day work. Can add people, but can only give them Operator. |
| Admin | Full access, including other people's access. |
Only an Admin can give someone Admin or Manager.
When someone leaves
Open them in Users, click the pencil (Edit user) and switch Active off. They can no longer sign in, in any of your management groups, and their past work stays on record. If they're signed in at that moment, it can take a short while to take effect. They move to the Inactive list. A Manager can switch someone off, but only an Admin can switch them back on.
To take away just one management group, remove that group from the person instead.
Good to know
- Access requests. If someone asks to join your company, an Admin sees their request at the top of Users, under Access requests. Pick the management group and their access (Manager or Operator), then approve or reject it. To approve someone as crew without tractor work, untick Operator afterwards in their record.
- Demo accounts. In a demo, people you add are placeholders you can assign work to. They can't sign in and no invite is sent.
